Track and convert prospective-family leads

Enquire first — available to the restricted pilot

Available from 11 September 2026 to eligible coaches in the existing restricted pilot. Coaches can collect a family's enquiry before deciding when to arrange a call.

  1. Open Bookings → Booking setup → Overview & share → Enquire first.
  2. Save your page details and business privacy policy first. Add an introduction and up to ten optional custom questions, turn on Accept enquiries, then Save enquiry form.
  3. Copy the Enquiry link to your website or Linktree. Families can use it without an account, a service choice or an available appointment time.
  4. The form collects contact details, the little one's first name and age, a short challenge description, referral source and privacy acknowledgement. It confirms receipt; it does not book a call.
  5. Review submissions in Leads. The Original enquiry keeps the submitted contacts and answers even if you edit the lead later. A generic coach email links back to this record.
  6. Contact the family personally, then use Add booking on that lead to choose a service and time. The booking stays linked to the same lead. Cancelling this step leaves the enquiry available.
  7. If an email's delivery is uncertain, check your inbox before using Retry coach email; the enquiry is already saved. A retry can send another copy.
  8. Turn off Accept enquiries and save to stop new submissions. This switch is separate from direct calendar booking publication, and existing leads remain available.

The owner using View as coach works within the same selected coach's permissions. Payment, automatic family-account creation and signing up without a call are not part of this addition. Existing completed-call and signed-up conversion rules still apply.

Follow up from Bookings

The update released on 6 September 2026 keeps the next steps together. After marking a booking completed, record Signed up, Deciding or Not proceeding directly in its Call follow-up panel. Signed up then offers Generate family code or Send invitation email; neither happens automatically. Existing invitation status and any uncertain delivery appear in the panel. Use Refresh follow-up to check updates, Follow up to reopen a completed booking, or Open full lead for the complete record. A family still needs to accept the invitation or redeem the code before being linked. This update is live for the existing restricted pilot; it does not add Leads to the mobile app.

Littles Baby Tracker can replace a separate lead spreadsheet with a private Leads workspace in the authenticated coach web panel. It follows a prospective family from enquiry or discovery-call booking until the practice converts or closes the lead.

Lead management follows the same restricted Becca/test-account production pilot as discovery bookings. Coaches outside that pilot do not see or receive access to the workspace.
This feature is being released gradually. If Leads is not shown in the web panel, it has not been enabled for that practice and browser build.
Call outcome, the later Lead status, and family invitation state are separate. Completing a call does not automatically convert or invite the family.

Who can use it

Coaches and authorized practice owners or administrators can manage leads for an eligible coach in their own practice. The Littles Baby Tracker owner can use the audited View as coach action and must then see the selected eligible coach's complete workspace, including Leads and Bookings. A direct owner session has no unscoped practice data, and families, unrelated coaches and anonymous visitors cannot open lead records.

Lead management is web-panel-only. There is no family lead dashboard, mobile lead workflow or lead push notification.

How a lead is created

There are two routes into the same pipeline:

  • From a booking. When both features are enabled, a confirmed public or coach-entered discovery call creates exactly one lead linked to that booking. Retrying the booking cannot create a duplicate lead.
  • Manual entry. Open Leads, choose the coach, select Add lead, enter the prospective family's details and save. A booking is not required.

Separate enquiries are not merged merely because they use the same email address.

The family supplies a required Where did you hear about us? answer. The practice can separately set an internal lead source such as Google Ads, Google Organic, Instagram, referral or other. Correcting the internal source never rewrites the family's answer.

Work with the pipeline

The workspace supports search, call-outcome, lead-status, invitation-status and source filters, plus paged results. Select a lead to review contact and little-one details, linked booking information, invitation state and a privacy-safe history of meaningful changes.

On a narrow screen the search and filters stack into compact rows, and each lead's status and source sit below its identity instead of being squeezed into a narrow column. The selected lead remains visibly marked. Source and history labels are written in plain language rather than internal system values.

Call outcome describes only what happened to the appointment:

  • Scheduled;
  • Completed;
  • Cancelled; or
  • No show.

A linked lead takes this value from its booking, so change the appointment in Bookings. A manually entered lead without a booking can record the outcome directly. Rescheduled appears in appointment history with who made the change and when; it is not a fifth outcome, and the current outcome remains Scheduled. The history does not copy old or new appointment times.

Only after Call outcome = Completed, the local candidate shows a separate Lead status:

  • Signed up;
  • Deciding; or
  • Not proceeding.

Not proceeding requires one reason: Cost, Both parents not on board, Not ready, Ghosted, Not the right fit or Other. Other can carry a short optional explanation. Before completion, Lead status is not shown.

Signed up does not mean the family is linked. It reveals the next deliberate action—generate a family code or send an invitation email. The invitation is shown separately as pending or accepted. Once an invitation exists, the lead stays Signed up and the call cannot be silently changed away from Completed.

Use the booking link in the lead detail to move to Bookings. Completing, cancelling or marking a linked booking as no-show updates its call outcome. The lead and appointment histories record meaningful changes without exposing secrets, email-provider data or appointment times.

Convert a lead

After recording Signed up, conversion is always an explicit choice. Select one action:

  • Generate family code creates an invitation code for the coach to share through an appropriate channel.
  • Send invitation email creates the invitation and safely queues the existing transactional family-invitation email.

Confirm the chosen action before continuing. A retry returns the original result and does not create another invitation, code, email or conversion event.

Conversion does not create a family profile or connect an existing family automatically. The family must redeem the invitation through the normal invitation flow; that remains the trusted account-linking boundary.

If an email result is uncertain, the lead shows that safe delivery state and does not automatically send again. Check with the family first. If you decide to retry, choose Send invitation email again and confirm the warning that the family may receive a duplicate. This reuses the same invitation; it does not create another family code or lead.

Lead insights (local candidate; not released yet)

When this update is released, open Leads → Insights in the coach portal. Choose an inclusive date range of up to 366 days; the displayed dates and months use UTC. Choose Coach classification or Family-reported source. They remain separate: Google Ads is never guessed, Unclassified stays visible, and custom family choices appear under Other without exposing private wording.

At the top, four totals show enquiries and how many signed up, plus calls and how many were completed. Enquiries are counted on the date they arrived and calls on the date of their linked appointment, so the two pairs cover different leads and are not two steps of one journey.

What happened to these enquiries splits every enquiry in the range by its current decision: signed up, deciding, not proceeding, or decision not recorded. Those four always add up to the enquiry total. Choose any one to open the leads behind it. A decision with no leads is left out rather than shown as an empty slice.

Source and monthly graphs can show enquiries, decisions, invitations or call outcomes. Click a bar or table count to open matching leads, then select a lead to use its normal detail/edit workflow. Lead records returns to the existing search, filters and export. Insights is not limited to the first page of leads.

Enquiries and their current decisions are grouped by when the lead was created. Calls are grouped separately by the current appointment date. Rescheduling moves the same call, rather than adding another. A manual lead without a dated linked booking appears in enquiries, not attendance. An elapsed scheduled call remains Outcome not recorded, never automatically No show.

The no-show percentage compares no-shows with completed calls plus no-shows; cancelled, upcoming and unresolved calls are excluded. Sign-up rate compares Signed up with all enquiries. Invitation acceptance compares currently accepted invitations with invitations created; it does not prove payment or active support. Small samples are labelled, and a zero denominator shows no percentage. Counts are enquiries, not unique families. Later source/status corrections can change past-month charts. There is no financial reporting or marketing tracking.

This candidate retains the same coach/authorized-practice-manager permissions and full owner View as coach access. It adds no family or mobile lead view, changes no production pilot and does not embed a booking widget on a website.

Export leads

Use Export CSV to download the currently authorized lead data, including the separate call outcome, lead status, invitation state and any recorded not-proceeding reason, for legitimate practice work. The export is protected against spreadsheet-formula injection and the action is audited.

An export does not prove marketing consent. Littles Baby Tracker does not send the file to an email-marketing service and does not infer permission to market from a booking, lead or invitation.

Important boundaries

  • This is Littles Baby Tracker's own system; it does not depend on Wix, Calendly or an external CRM.
  • It does not take payments or integrate with Stripe.
  • Families see the source question on an enabled booking page, but never see or manage the internal lead record.
  • Lead records and contact details are restricted to the current practice and coach-management permissions.
  • Invitation email is transactional. There is no marketing automation or provider synchronization.
