Family caseload and support
Your family caseload is the main place for managing current coach–family relationships. It includes accepted families, pending invitations, support dates, support status, team labels and shortcuts to family work.
Who this guide is for
This guide is for subscribed coaches managing families in the coach portal or mobile coach workspace.
What you can do
- Search for a family, baby, email address or team label.
- Filter and sort your current list.
- Review active, paused, not-started and expired support.
- Change support dates.
- Pause or resume support.
- Assign a saved team label.
- Extend expired support or end the coach relationship.
- Open family view, session prep, activity review or messaging when available.
Understand support status
- Active — support is running and you can work normally within your permissions.
- Paused — support is temporarily paused, but the family remains current and records remain available.
- Not started — support has not started yet; review or set its dates.
- Expired — the assignment still exists, but protected family records are unavailable until support is extended.
- Revoked or ended — the relationship has ended and records are no longer available.
Paused and revoked are very different. A pause is temporary. Revocation ends the assignment and cannot be undone.
Find and organize families
- Open Families or the mobile coach dashboard.
- Search or apply a status or team-label filter.
- Sort the list if needed.
- Choose a current family to see its available actions.
In the coach portal, families are shown in pages. Pending invitations appear separately from accepted families.

Change support dates
- Open the family's support controls.
- Choose the support start and/or end date.
- Check that the end is not before the start.
- Save the change.
To reactivate expired support, choose an end date in the future.
Pause and resume support
Support must have an end date before it can be paused.
- Open the family's support controls.
- Choose the pause action.
- When support should continue, choose resume.
Resuming extends the end date by the amount of time support was paused, preserving the intended active support period.
Handle expired support
Expired families appear in the expired-family area rather than ordinary active cards.
- Open the expired-family list.
- Choose a future end date to extend support, or choose to revoke the assignment.
- Confirm your decision.
Family records, session prep, private notes, alerts and messaging remain unavailable until a valid extension succeeds.
End a coach relationship
Revocation is permanent for that assignment. After confirmation, the family leaves your current workspace and you lose record access. If you need to work together again, send a new invitation and let the family accept it.
Things to know
- All-time analytics may count former families, but there is no former-family directory.
- Opening family view can clear the general “new activity” marker for that family.
- The general activity marker and the notification bell use separate read states; clearing one does not necessarily clear the other.
- Your available actions depend on your practice membership, subscription and permissions.
If something goes wrong
- If no families appear, check pending invitations or invite a family.
- If a search returns nothing, clear the filters and try again.
- If a date or status change fails, the previous saved state remains in place; retry the change.
- If an expired family remains locked after an extension, refresh and confirm that the new end date is in the future.
- If you try to restore a revoked assignment, the product will direct you to send a new invitation instead.
