Photos, PDFs and private files

The app can store profile pictures, baby photos, activity images, practice logos, and selected PDF documents. These files are private and are shown only to signed-in users with access to the related account, family, or practice.

Who this guide is for

  • Families adding their own profile, baby, or activity pictures.
  • Coaches updating their profile or working with family and sleep-plan files they are allowed to access.
  • Eligible practice owners adding an organisation logo.

Add or replace a picture

  1. Open the profile, baby, activity, or practice area that owns the picture.
  2. Choose the option to add or change the image.
  3. Select a supported image from your device.
  4. Check the preview.
  5. Wait until the upload finishes before leaving the page.
  6. Save the related profile or record if the screen asks you to do so.

The app may resize or compress large images before uploading them. This makes them faster to display without changing the original file on your device.

Add a PDF or sleep-plan image

Coaches can add supported files while preparing a sleep plan when they have current access to that family.

  1. Open the relevant family and sleep plan.
  2. Choose the file or image from your device.
  3. Wait for the upload to complete.
  4. Save the sleep plan.
  5. Publish the plan when it is ready for the family.

Families can see sleep-plan files only when they belong to a published plan available to that family.

Remove or replace a file

Use the controls on the profile or record to remove the current reference or replace it with a new file.

After removal, the app returns to the normal placeholder, initials, or no-attachment state. Removing a picture from the screen does not necessarily delete every stored copy immediately. Contact support if you need help with permanent account-data removal.

How privacy works

  • Files are not published at permanent public web addresses.
  • The app checks your current access before opening a private image or document.
  • A coach can view a family's files only while they have the required family access.
  • A practice logo is available only in an appropriate practice or linked-family context.
  • A copied image or document link is temporary and may stop working. Do not use it as a permanent sharing link.
  • If your access changes, a previously visible file may no longer open.

Things to know

  • Each feature accepts only suitable file types and sizes; follow the message shown by the upload control.
  • An upload must finish before the app can attach the file to a profile or record.
  • Changing a profile picture does not change your name or account permissions.
  • If an uploaded file is saved but the related record fails to save, try the whole action again.
  • Private file access may expire while a document is left open for a long time.

If something goes wrong

  • If a file is rejected, check its format and size, then choose another file.
  • If image preparation fails, try a smaller or less complex image.
  • If an upload stops, keep the page open, check your connection, and retry.
  • If a picture or PDF no longer opens, refresh the page or reopen the document.
  • If you see a placeholder, the file may have been removed, may be unavailable, or you may no longer have access.
  • If a coach cannot open a family file, confirm that the family assignment and support access are still active.
