Book and manage discovery calls

Enquire first — available to the restricted pilot

Available from 11 September 2026 to eligible coaches in the existing restricted pilot. Coaches can collect a family's enquiry before deciding when to arrange a call.

  1. Open Bookings → Booking setup → Overview & share → Enquire first.
  2. Save your page details and business privacy policy first. Add an introduction and up to ten optional custom questions, turn on Accept enquiries, then Save enquiry form.
  3. Copy the Enquiry link to your website or Linktree. Families can use it without an account, a service choice or an available appointment time.
  4. The form collects contact details, the little one's first name and age, a short challenge description, referral source and privacy acknowledgement. It confirms receipt; it does not book a call.
  5. Review submissions in Leads. The Original enquiry keeps the submitted contacts and answers even if you edit the lead later. A generic coach email links back to this record.
  6. Contact the family personally, then use Add booking on that lead to choose a service and time. The booking stays linked to the same lead. Cancelling this step leaves the enquiry available.
  7. If an email's delivery is uncertain, check your inbox before using Retry coach email; the enquiry is already saved. A retry can send another copy.
  8. Turn off Accept enquiries and save to stop new submissions. This switch is separate from direct calendar booking publication, and existing leads remain available.

The owner using View as coach works within the same selected coach's permissions. Payment, automatic family-account creation and signing up without a call are not part of this addition. Existing completed-call and signed-up conversion rules still apply.

Embed your calendar or enquiry form on your website — restricted testing

The calendar is available on Becca's separate Wix test page, with no normal visitor traffic. The coach-panel copy-code controls below are deployed from 11 September 2026. Existing shared booking links continue to work as before.

  1. Open Bookings → Booking setup → Overview & share and find Embed on your website.
  2. Save and publish a complete, eligible page first. Under What to embed, choose all public services, one service, a selected-services link, or your Enquiry form.
  3. The enquiry form only appears in that list while Accept enquiries is on, so you cannot publish code for a paused link. Turning enquiries off again stops the embedded form in the same way it stops the shared link.
  4. Enter your full website address, starting with https://. There is nothing to submit: the panel checks the address as you type and states the result, showing the exact address it checked. www and non-www count as different websites, so use whichever one your live site actually uses. Only Becca's reviewed website/frame addresses are currently approved.
  5. If it is not approved, the panel explains how approval works. Littles support adds each website by hand and you cannot approve your own; send them the exact address shown.
  6. Once approved, choose Copy embed code. Where to paste it names the block to use on Wix, WordPress and Squarespace; on any other builder look for an HTML, embed or custom-code block. If copying is blocked, select and copy the code shown. Keep the Open booking page fallback link.
  7. On Wix, support must also approve the HTML block's intermediate frame address. You may need to increase the outer block's height. Wix only hosts the block; Littles still handles bookings.
  8. An embedded enquiry form behaves exactly like the shared enquiry link: the same questions, referral choices and privacy notice, and submissions still arrive in Leads.
  9. Families see the same service choices, available times, questions and privacy notice. Email, reminders and connected calendars work as before. Manage this booking opens a separate tab to protect the private link.
  10. The optional resizing script never reloads an active form. If a website removes that script, families can still book using the calendar's internal scroll area or the fallback link.

The owner using View as coach has the same selected coach's setup controls. Families cannot access these coach settings. Enabling the real customer website still requires a separate release and a check on that actual website.

Choose your family page background

  1. Open Bookings → Booking setup → Family page & communications and find Page background under Family page branding.
  2. Brand wash is the existing look: your two colours tint the page behind the content.
  3. White gives a plain white page. Your colours stay on the header, buttons, headings and calendar, so the page is still yours — only the background changes.
  4. Both colours are always blended together for the wash, so if you set only one the other stays the Littles default. Set both, or choose White, to avoid an unexpected mix.
  5. Save the page, then use Preview family flow to see the result before families do.

Booking emails to the coach

Available to the restricted pilot. It is on wherever booking emails are already being sent.

  1. When a family books, moves or cancels a call, the assigned coach is emailed. Only that coach is emailed, not everyone in the practice.
  2. The email says what changed and links to your booking workspace. It contains no family or child details, so it is safe to read on a shared screen.
  3. It is on by default. Turn it off under Bookings → Booking setup → Overview & share → How the coach is notified, using Email me about my bookings.
  4. You are not emailed about a change you made yourself. A manager's change does email the assigned coach.
  5. Choosing Save only on a manual booking stops the family email, not yours.
  6. Reminders before a call are emailed to the family only. Use your connected calendar for your own reminders.
  7. Only you can change your own setting. A manager sees whether it is on but cannot switch it for you.

Coach emails and manual calendar

This update is live from 6 September 2026 for the existing restricted pilot.

  1. Family booking emails identify the consultancy via Littles Baby Tracker.

They still use Littles' verified sending address; replies go to the assigned

  coach's account email. The email names the coach and includes a **Manage
  booking** button. Confirmation, reminder, reschedule and cancellation use
  the same identity. Coaches do not need a new email service.
- In **Booking setup → Family page & communications**, select an email type
  and add an optional coach note, then **Save page**. Each of the four notes
  supports up to 1,000 plain-text characters. Clear a note to remove it.
  Saved notes appear in the preview and are used when emails are sent,
  including reminders already waiting. Saving settings does not send email.
  Booking details, joining instructions, private links and the footer remain.
- In **Add booking**, choose a day from the month calendar, then a free time.
  Call length, preparation and after-buffer are shown. Choose **Show times
  outside usual hours** only when deliberately adding an exceptional time.
  Busy times cannot be selected; an outside-hours choice cannot override them.
- Your own calendar explains conflicts as an existing booking, connected
  calendar busy time, manual block or buffer. Other coaches' private events
  remain simply **Busy**. The display uses a recent sync, and saving checks
  again. If a time becomes busy, your family details remain while you choose
  another time.
- After **Mark completed**, **Call follow-up** opens in Bookings when Leads
  is enabled. Record the lead status there, then explicitly generate a family
  code or send an invitation email. Completed cards offer **Follow up** to
  return later; **Open full lead** opens the same lead in Leads.

Littles Baby Tracker includes a first-party booking system for discovery calls. A coach or consultancy can publish a booking page, and a prospective family can choose a time without creating an app account.

This feature is being released as a restricted pilot for Becca and designated test accounts. If another coach cannot see Bookings in the web panel, or their booking link says it is unavailable, that is expected during the pilot. Families using an enabled pilot coach's link can book and use their private management link without a Littles account. Direct personal-calendar connections have a separate control and may not appear even when the booking workspace is available.

For families booking a call

  1. Open the Littles Baby Tracker booking link shared by the coach. A general

link lets you choose among the coach's available services; a direct service

  link opens with that exact call already selected; and a selected-services
  link shows only the group of services the consultancy chose for that link.
- Choose the type of call. A consultancy service may also ask you to choose
  the coach you want to speak with, or it may offer the first available coach.
  The compact calendar opens the first month that has a time and selects its
  first available date. Unavailable dates are disabled and the available
  times appear beside the calendar on a wide screen or underneath on a
  smaller screen. Use the previous/next month buttons to move within the
  booking window. If one month cannot load, it remains visible so you can
  retry that month or try the next one. Times use your device's timezone.
- After choosing a time, check the compact selected-time summary and continue directly to your details. Use **Change time** if you want to reopen the choices.
- If the coach offers one call method, check the method shown. If they offer several, choose one before confirming. Phone and WhatsApp choices require a usable phone number; it is optional for the other methods.
- Enter the caregiver's name and email address, the little one's first name and their age in your own words, such as ''8 months'' or ''2 years 3 months''. A date of birth is not needed.
- If the coach's lead-management workspace is enabled, answer the required **Where did you hear about us?** question. This records what you know; the coach can keep separate internal campaign attribution later.
- Answer any questions the coach has configured for this exact service.
  Required questions are identified before the secure anti-bot step appears.
- Read and acknowledge the linked privacy notice.
- Select **Confirm booking**.

The confirmation page and transactional email show the scheduled time. The email also contains a private link for reviewing, rescheduling, or cancelling the booking.

If the coach has enabled a Family email reminder, it is sent only to the family. It names the service, shows the appointment in the family's timezone, identifies the call method, includes configured joining details (or says the coach will contact the family separately), and repeats the private management link. It is about the booking and does not add the family to marketing. A coach does not receive this reminder email.

Keep the management link private. Anyone with the link can manage that booking until the link expires. A prospective family does not need a Littles Baby Tracker account, and booking a call does not create a family app profile.

Reschedule or cancel

Open the private link in the confirmation email.

  • Reschedule shows the same compact, recoverable month calendar for the same call type. Choose an available date and time; after choosing one, the calendar collapses so you can confirm the change clearly.
  • Cancel booking releases the time so it can be booked again.
  • A confirmation email is sent after a successful reschedule or cancellation.

When the separate lead workspace is enabled, Littles keeps the appointment result synchronized as Scheduled, Completed, Cancelled or No show. Rescheduling remains an appointment-history entry and the current result stays Scheduled. Call completion and the family's later decision remain separate.

If another person chooses a time first, the page asks you to select another available time.

For coaches and practice administrators

Open Bookings in the authenticated coach web panel. Depending on your practice role, you can manage only your own schedule or choose another coach in the same practice.

Under Page & availability, set a Consultancy name, optional public Coach name, and short Consultancy introduction. The family page leads with the consultancy and logo; the individual coach appears underneath as Book with [coach] instead of dominating the page title.

The Littles Baby Tracker owner can open the owner's View as coach action for an enabled coach. The coach panel must then show that selected coach's complete workspace, including Bookings and Leads, while keeping the owner-view banner visible. The owner is not given a reduced or read-only version of the coach panel.

Before publishing a page:

  1. in the local round-three candidate, review How the coach is notified at

the top of Page & availability. It shows the actual status of the web

  booking list, connected calendar event, optional mobile push and coach
  booking email. A separate coach booking email is currently **Not sent**;
  use the web list, calendar event or optional mobile alert;
- set the public page name, address and scheduling timezone;
- under **Family page branding**, choose the main and accent colours and,
  if wanted, upload the coach or practice logo. PNG, JPEG and WebP images up
  to 10 MB are resized for the booking page when saved. Browsers that cannot
  save WebP use PNG automatically. The logo can be
  replaced or removed later; without one, the family page uses the Littles
  fallback mark. Both colours are used throughout the header, page, cards,
  fields, calendar, buttons and focus/hover states. Littles automatically
  adjusts derived text and borders when a very light, dark or similar pair
  would otherwise be difficult to read;
- choose minimum notice and the family email reminder from plain-language presets, or use **Custom** hours and minutes for an exact value; enabled reminders start at one minute, while **No reminder** disables the family reminder;
- in the local round-three candidate, use **Preview family emails** to review representative confirmation, reminder, reschedule and cancellation messages. Switch the example among automatic Zoom, coach-entered instructions and the coach-contact fallback. The panel contains placeholders only, reflects **No reminder**, and explains that manual **Save only** sends neither confirmation nor reminder;
- choose **How far ahead families can book** from the day/week presets or enter a custom number of days; this limits how far into the future eligible times are offered and does not make every day available;
- enter your own business privacy-policy HTTPS link before changing the page to **Published**; a draft can be saved while this is unfinished, but Littles Baby Tracker's policy cannot be used for the coach's family-data collection;
- add at least one active public call service. Choose **Call duration**, **Preparation time before**, and **Buffer after** from plain-language presets, or use **Custom** hours and minutes for an exact value. **None** means no buffer. Preparation and after-buffer time make the coach unavailable around the call but do not lengthen the appointment shown to the family;
- choose who delivers each service. **One coach** keeps the normal
  single-coach journey. **Family chooses a coach** asks the family before
  times are loaded. **First available coach** combines the selected coaches'
  free times and assigns the exact coach behind the chosen time. Only active,
  eligible coaches in the same practice can be selected. Each coach keeps
  their own availability and personal calendar/Zoom connection; a practice
  administrator cannot see or control another coach's credentials;
- the prefilled **First service** form is only a starting point until you
  choose **Save service**. Saving the page does not save that service. After
  the first service is saved it appears in the list and the editor closes;
  choose **Add another service** only when you want a separate service and
  booking link;
- after the first save, use the complete address shown under **Family booking link**. **Preview family flow** opens a short-lived private, non-bookable view for a saved draft, published or paused page. **Copy public link** and **Open family page** become available only when the saved page is published, current eligibility is verified, at least one active public service and availability exist, and the coach's privacy link is present. Save any pending page edits first;
- choose one or more call methods for each service: **Phone call**, **WhatsApp voice**, **WhatsApp video**, **Zoom**, **Other video link**, or **In person**. Put them in the order families should see and add separate private instructions where needed. Those instructions appear only after confirmation. When the separate Zoom connection is available and healthy, the genuine coach may instead select **Create Zoom meetings automatically** for the Zoom method;
- optionally add up to 10 booking questions to a service. Questions can be
  **Short answer**, **Long answer**, **Single choice**, **Multiple choice** or
  **Yes/No**, and can be reordered, required, disabled or removed.
  The family form already includes caregiver/contact details, the child's
  first name and free-text age, where the family heard about the coach, and privacy
  acceptance. The editor lists those built-in fields and prevents a custom
  question that asks for the same child name, child age or referral source;
  Do not request diagnoses, clinical records, full birth dates, child contact
  details, payment data or information unrelated to the call. Your privacy
  policy must cover the questions you ask;
- under **Where families heard about you**, rename, add, remove or reorder
  the choices families should see. There must be between two and ten choices.
  A choice can optionally ask the family to add a short detail, such as the
  name of a podcast or referring person. Editing a label affects future
  bookings only; an existing booking keeps the exact answer it submitted;
- for each published public service, use **Copy link** to place that service
  on your website or **Open family page** to check it. The service row says
  **Published**, **Private**, **Disabled**, or why its page is unavailable.
  Renaming a service does not change its link;
- under **Booking link collections**, create a named internal collection when
  one shareable page should offer only a selected group of services. Choose
  and reorder the services, optionally add a family-facing title and short
  introduction, then copy or open that collection's stable address. Renaming
  the collection does not change its address. Pause it to hide it temporarily
  or delete it when it is no longer needed. A collection with no remaining
  public service shows the same generic unavailable page as another unusable
  booking link;
- set weekly availability with **Add availability** for another period and
  **Remove availability** for a period you no longer want to offer; and
- add date exceptions or private busy blocks where needed.

Families see the coach's policy beside the required acknowledgement. The booking keeps the policy link and internal revision that were displayed when the family accepted it, even if the coach later changes the page policy. The coach never needs to create or type that internal revision.

Custom answers appear read-only in the family's private management page and in authorized coach booking detail. They are not placed in confirmation/reminder email, push notifications, calendar events, lead records or analytics. Editing a service's questions affects future bookings only; an existing booking keeps the questions and answers submitted at the time. Deleting a verified family account erases matching custom-answer snapshots while retaining the operational appointment record.

Calendar connection is available only inside the restricted booking pilot, currently with Google Calendar and Apple/iCloud for the calendar cohort and Microsoft Outlook/Microsoft 365 for Becca only. The coach connects the provider directly to Littles Baby Tracker; Wix is not involved. The Littles owner using the audited View as coach flow sees the same control as the selected coach. Practice administrators cannot connect another coach's personal account. The second booking-pilot coach cannot see or connect Microsoft.

Publishing makes the page available at its Littles Baby Tracker booking URL. Pausing or returning it to draft hides it without deleting existing bookings.

For a multi-coach service, the coach selected by the family or allocated to the chosen time owns the resulting booking and lead. Their own busy calendar is checked and the call is written to their configured destination calendar. A later change to the service's coach list does not silently move an existing booking to someone else.

Automatic Zoom is enabled in production only for Becca's coach account. Becca finds Zoom under Page & availability. The second booking-pilot coach and all other coaches cannot see, connect or use automatic Zoom:

  1. choose Connect Zoom, sign in to the coach's own Zoom account and approve the meeting/basic-account access shown by Zoom;
  2. edit a service, include Zoom, and select Create Zoom meetings automatically. Existing manual Zoom links remain available by leaving that option off;
  3. each new automatic-Zoom booking shows Joining details are being prepared until Littles creates the private meeting. The family then receives the join link in confirmation/reminder email and the private manage page. If a personal calendar is also connected, the Littles-created calendar entry receives the same joining information;
  4. reschedule and cancel through Littles so the same Zoom meeting is updated or removed; and
  5. use Reconnect Zoom or Retry Zoom meeting when the panel says attention is needed. Disconnect revokes access where possible and erases the stored Zoom authorization/account material.

Practice administrators cannot connect another coach's Zoom account. The Littles owner using audited View as coach receives Becca's complete self-coach Zoom controls while viewing as Becca. Littles does not record calls, transcribe them, import participants or place family details in Zoom. The Marketplace application and public legal wording are approved and live. Becca must complete Connect Zoom once in her own coach settings before Littles can create meetings in her account. No paid Zoom resource was created for this pilot.

A private preview is for checking the family layout only. It says Private coach preview, cannot confirm a booking, does not load booking abuse protection and expires after ten minutes. If it expires or access changes, reopen it from Bookings. The ordinary copied link is the one to share with families; draft and paused ordinary links show a generic unavailable page.

Connect a personal calendar

Calendar connections are designed to prevent a personal appointment being booked over and to place new Littles bookings in the coach's own calendar. Littles connects directly to the selected provider; Wix and Calendly are not required.

When the control is enabled:

  1. open Bookings, then Page & availability and the Calendar connection section;
  2. choose Connect Google Calendar;
  3. read the purpose and privacy-policy link, then authorize the complete Google permission set. Littles reads the calendars and busy times you select, and writes only Littles booking events to the destination you choose;
  4. choose one or more calendars whose busy events should remove booking times; and
  5. choose one calendar that should receive Littles booking events.

Only events marked as non-free block availability. Families and practice administrators cannot see the personal event's title, attendees or other details; they see only that the time is unavailable. The calendar event created by Littles uses generic wording and contains no caregiver, child, contact, lead or private management-link information.

Littles Baby Tracker remains the source of truth for the family booking. Reschedule or cancel the booking through Littles so the external event follows it. Moving or deleting the mirrored event directly in the personal calendar does not silently move or cancel the family's booking; Littles repairs the mirror or shows that the connection needs attention.

If the provider cannot be checked safely or the connection becomes stale, affected public availability can be temporarily unavailable until synchronization or reconnection succeeds. Manual busy blocks remain available for coaches without a connection or for commitments outside the selected calendars.

An iCalendar .ics subscription is read-only display and is not the direct read/write connection described here.

Google Calendar is active only for the existing restricted booking pilot. Core real-account consent, busy-time blocking and Littles event create/reschedule/cancel checks passed; extended renewal, missed-change, revoked-access/reconnect and disconnect-cleanup checks still gate wider rollout. Microsoft Outlook/Microsoft 365 is active only for Becca. Its owned production and separate local Entra applications, callbacks, delegated permissions, time-bounded credentials, public legal wording, first-party consent links and littlesbabytracker.com publisher domain are configured. Microsoft authorised the business profile, the production app retains the authorised PartnerGlobal association, and the consent screen shows the verified Dreams for Littles Ltd publisher badge. Personal Outlook tests pass connection, calendar selection, event create/reschedule/cancel, real revoked-access fail-closed behavior, reconnect and complete Littles-side disconnect cleanup. Disconnect immediately erases Littles' encrypted Microsoft tokens. Microsoft does not provide a narrow endpoint that also removes the account-side app consent, so a coach who wants that additional cleanup can remove Littles under the Microsoft account's Apps and services you've given access page. The first release offers multiple calendars owned by the coach and one owned destination; shared Outlook calendars are not shown. Testing with an already licensed work/school mailbox, a genuine Microsoft lifecycle missed event and a genuine expired Microsoft delta cursor remain post-pilot validation. The owner tenant currently has no Microsoft licence inventory; no trial or licence will be bought solely for acceptance.

Apple/iCloud does not use App Store Connect, Sign in with Apple or the phone's local calendar as the booking authority. The no-cost direct connection uses the coach's Apple Account email and a separate four-part app-specific password generated at account.apple.com. The normal Apple Account password must never be entered. Littles encrypts the app-specific password, reads only selected calendar busy time and writes only generic Littles booking events to the selected destination. Disconnect erases Littles' encrypted copy; the coach should also revoke that app-specific password in Apple Account for complete revocation. Guarded real-account acceptance passed on 19 August 2026, including connection, selected-calendar discovery, busy-time blocking, booking create/reschedule/cancel mirroring and complete local/test-event cleanup. The Apple Privacy Policy and Terms additions were published the same day. The reviewed Apple-capable API and coach portal are deployed with Apple still off; Apple remains unavailable until separate pilot activation is approved.

Manage bookings

The booking list can show upcoming or past calls and filter by status. It includes the contact details supplied for the call.

Coaches and authorized practice administrators can:

  • add a booking manually;
  • for a future manual booking, choose a date and use Day at a glance to

select an actually free start. Busy personal-calendar time is shown only

  as **Busy**. Times inside public hours are labelled usual, while a free
  outside-hours time can still be chosen as an exceptional arrangement;
* choose **Save only** or **Save and send confirmation email** for a manual booking;
* reschedule an upcoming call;
* cancel a call; and
* mark it completed or no-show.

For manual bookings, Save only sends neither a confirmation nor a reminder. Save and send confirmation email sends the confirmation and schedules the configured family reminder when that reminder time is still in the future. Rescheduling suppresses the old queued reminder and schedules one for the new time; cancelling suppresses the queued reminder. An email that has already begun external-provider delivery cannot be recalled.

If no personal calendar is connected, manual entry still checks Littles bookings and private busy blocks but warns that other calendar commitments are unknown. If a connected calendar needs attention, new choices remain disabled until it is healthy. The day view is a preview: saving checks the provider and Littles occupancy again. If the service changed, choose it again; if another booking took the time first, choose another free time.

Littles Baby Tracker prevents one coach being booked for overlapping times, including when that coach belongs to more than one practice. Back-to-back calls are allowed when their configured buffers do not overlap.

Review upcoming calls in the coach mobile app

An eligible genuine coach can open the coach menu and choose Upcoming bookings. The mobile view shows the next self-assigned future calls in time order, including the service, booking status, family/child context, call method and organization. Opening a call adds the supplied contact information and any private booking-form answers needed to prepare. Familiar icons help identify the date and time, child, call method, organization, email and phone while the matching text labels remain visible. Each list card places date and family in the two upper corners, with call method and organization in the two lower corners, so preparation details are easier to scan.

The mobile view is read-only. It does not show private joining instructions or external calendar-event details. Choose Open in coach panel to reschedule, cancel, edit, see the complete list or perform any other booking action. Family, non-pilot and practice-manager-only accounts cannot open this mobile view.

Optional coach mobile alerts

A genuine coach can open the mobile coach menu, choose Settings, and turn on Discovery booking alerts. The phone asks for notification permission if needed.

Alerts are general and contain no family, child, email, phone, service, date or time details. Opening one shows the authenticated read-only Upcoming bookings view. Booking records can be reviewed there, but cannot be changed in the mobile app.

These created/rescheduled/cancelled alerts are event notifications, not appointment reminders. If a coach connects a personal calendar, they can use that calendar provider's reminder controls for themselves.

The local round-three coach panel brings every channel together under How the coach is notified. The web booking list is always on. Calendar and mobile push show their current status. The panel also explains that a coach's own change does not trigger a duplicate push, that a practice manager uses the assigned coach's own setup, and that a delivery failure does not undo the booking. The family email reminder remains family-only.

Things to know

  • The booking system does not rely on Wix or Calendly. They are reference only.
  • It does not take payments.
  • Eligible restricted-pilot coaches can connect Google or Apple/iCloud directly, read busy time from selected calendars, and write Littles bookings to one selected destination. Microsoft is additionally available only to Becca.
  • Apple/iCloud requires a separately generated app-specific password. Littles will never ask for the coach's normal Apple Account password. Disconnecting removes Littles' encrypted copy; the coach manages or revokes the app-specific password separately in Apple Account.
  • External calendar changes never silently reschedule or cancel a Littles booking.
  • When the separate lead-management feature is enabled for the practice, a confirmed booking also creates one private lead record for the coach. The public page does not reveal or expose that record.
  • Families receive transactional booking email, not marketing email.
  • Booking pages use abuse protection and may temporarily limit repeated attempts.

If something goes wrong

  • If a booking page or direct service link is unavailable, check the link or

ask the coach whether the page is published and the service is public and

  enabled.
* If a coach preview says it expired or is unavailable, close it and choose
  **Preview family flow** again from the coach panel.
* If a time disappears, refresh the available times and choose another.
* If the private management link has expired, contact the coach.
* If email does not arrive, check the supplied address and spam folder, then contact the coach.
