Organisation branding and personalisation
Organisation branding allows a practice to add its identity to parts of the family and coach experience. This can include a logo, welcome message, and colour theme.
Who this guide is for
- Practice owners and organisation administrators exploring Branding on Standard or editing it with active Premium or Founding Member access.
- Coaches and linked families who see saved practice branding automatically.
Availability: Branding is available to practices with an active Premium or Founding Member coach subscription. Standard subscriptions do not unlock it.
Explore Branding on Standard
- Open Branding from the coach portal account menu. A Premium badge marks the paid feature when it is not included in your current access.
- Active Standard practice owners and administrators see the benefits and an illustrative family-screen preview using example content. This is not your practice's saved branding and cannot be edited or published.
- Choose View Premium upgrade options to open Subscription with the available Premium options highlighted. Opening the page does not change your plan or charge you.
- Choose an available upgrade and review the amount due today and future renewal price before confirming with Stripe. If an upgrade is unavailable during an introductory period or because billing needs attention, follow the billing guidance or contact support.
- Once the platform confirms Premium access, choose Open Branding to use the editor.
Coaches without practice-management permission see a role message instead of an upgrade promotion: buying Premium does not change their organisation role. Inactive subscriptions are directed to billing. While permissions are loading or cannot be confirmed, the editor remains closed. This promotion does not change messaging availability or the separate booking-page branding pilot.
What an eligible practice can change
- The practice logo.
- A short welcome message.
- Four core brand colours: main, second, highlight, and dark.
- Three additional colours for analysis charts, initially suggested from the four core colours.
- One of four generated looks showing different ways those colours can be used.
Branding changes presentation only. They do not change anyone's permissions or family access.
Preview branding
- Open the branding area from the account menu in the coach portal.
- Choose the four core colours that best match the practice. The highlight and dark colours help keep small details and text clear.
- Review the three Additional colours. You can change them when you have more brand colours, or keep the suggested values. Suggested values always pass the colour check in every look. The seven visible colours are included when you publish.
- Compare the four generated looks. Balanced spreads the colours across the main areas, the two colour-led options make that colour lead the hero, navigation and cards, and Soft and subtle uses gentler mixed surfaces.
- Check the seven labelled Analysis colours below the looks. They show how the chosen and suggested colours are assigned to Sleep, Bottles, Nappies, Breastfeed, Pumping, Medication, and Solids.
- If the Colour check says Action needed, it lists each colour that is hard to see in Day or Night, or too similar to another. Either pick one of the accessible palettes or choose Keep my colours. An accessible palette replaces all seven colours, including your four core colours, because changing one colour can affect how the others work together. Keep my colours publishes your exact colours.
- While the check is unresolved, Publish branding is greyed out and a Finish the colour check to publish link appears beside it. Select the link to jump to the check. Changing any colour or look afterwards clears your choice, so make the choice last.
- Select each look to see the exact family mobile preview before choosing one. The hero, supporting panel, navigation and cards change, while the seven analysis colours stay in the same categories.
- Adjust the logo and welcome message.
- Use the preview to check the result in light and dark settings.
Preview changes are visible only in the preview. Families and other coaches do not see them until they are saved successfully.
Add or replace a practice logo
- Choose a JPEG, PNG, WebP, or GIF image.
- Wait for the preview to finish preparing the image.
- Check that it remains clear at the displayed size. On Family Home, the practice logo sits beside the baby's picture and name area; it is not placed on top of the default sun artwork.
- Save the branding changes.
If an upload fails, the existing saved logo remains in place.
Save and view the result
- Review the preview carefully.
- Publish the branding changes.
- An open family app refreshes its branding after publication. Reopening the screen or app also reloads it if a connection was interrupted.
Cancel branding
- Open the branding area from the account menu in the coach portal.
- Choose Cancel branding beside the publish button.
- Review the confirmation, then choose Cancel branding again.
Cancelling removes the published colours, practice logo, and family welcome message together. Connected coach and family apps return to the original Littles colours, and the branding editor returns to its default starting values. You can create and publish new branding later.
Who sees published branding
- Families: A family starts with the standard Littles theme. The connected practice theme becomes active after the family accepts the coach's invitation or share code and the active relationship is confirmed.
- Coaches in the mobile app: An eligible coach sees the published practice colours on Coach Home and other supported coach screens. The same practice theme remains visible when the coach switches to their own family tracker.
- Coaches viewing a family: Family-facing screens use the branding delivered for that authorized family context. Branding never gives the coach access to a family they could not otherwise open.
- Coach portal in a browser: The portal keeps the standard Littles interface. Practice branding is shown in the branding editor's mobile preview and in supported branded reports or outputs rather than recolouring the whole portal.
Preview-only changes are not included in any of these views. They become visible elsewhere only after Publish branding succeeds.
Where branding can appear
Published branding may appear on invitations, mobile home and tracking screens, questionnaires, sleep plans, session preparation, analysis charts, and other supported areas. On Family Home, a loaded practice logo replaces the default sun artwork and is positioned beside the baby's picture; the two images remain separate and neither sits behind the other.
The colours used for sleep environments, feeds, nappies, and other chart categories come from the same practice palette. Coaches can change the three additional chart colours or keep the suggested values. On the next publish, all seven visible values are saved explicitly. Changing the selected look does not change which colour represents Sleep, Bottles, Nappies, or another category. The app checks the complete palette in Day and Night but does not silently change it. The coach can apply a complete recommended palette or keep the exact original values after acknowledging that some colours may be harder for families to distinguish or may not have enough contrast. Graphs remain simple colour charts and do not add shapes or patterns. The phone preview shows the selected result before publication.
On a compatible installed phone app, Sleep timer widgets, iPhone Live Activities and Android timer notifications also use the active practice colours. Phone-owned backgrounds and prompts may still keep the appearance chosen by iOS or Android. Where no active practice branding is available, the standard Littles Baby Tracker theme is used.
Things to know
- Only an authorised practice owner or organisation administrator can save branding.
- The practice must also have active Premium or Founding Member entitlement. An organisation role cannot bypass the subscription check.
- Saved practice branding is not deleted if Premium ends or the practice moves to Standard, but it is hidden from invitation, family, questionnaire and sleep-plan views until an eligible Premium or Founding Member subscription is active again.
- A welcome message can contain up to 180 characters.
- Branding is shown only in an appropriate, active practice relationship.
- A family sees the standard Littles colours after registering. Seeing or opening a pending coach invitation does not recolour the app; the practice colours apply after the invitation is accepted and the active connection is confirmed.
- If that active practice relationship later ends, or no eligible practice branding can be loaded, the app returns to the standard Littles theme.
- Accessibility colour adjustments are applied only while a published practice colour theme is active. The standard Littles theme is left unchanged when branding is not in use.
- An unresolved seven-colour accessibility warning blocks publication until the colours pass the check or Keep my colours is selected.
- Phone-owned areas such as the Dynamic Island background, notification card background and permission prompts keep the appearance chosen by iOS or Android. The timer accent, text and supported widget surfaces use the practice palette.
- Families and ordinary coaches cannot edit the branding they see.
- A suspended or archived practice cannot update its branding.
- The editor being visible does not guarantee that your account has permission to save changes.
If something goes wrong
- If Branding shows Branding access unavailable, refresh the page or contact support so your practice permissions can be confirmed. A Practice manager required message means a practice owner or administrator needs to manage branding.
- If the generated looks cannot be loaded, choose Retry. The editor will not publish a generated look that it could not preview, but an existing custom theme can still save logo or welcome-message changes.
- If a colour is rejected, choose it again with the colour picker. Colours are stored as standard six-digit values.
- If the logo fails, try a smaller supported image and upload it again.
- If saving is denied, ask a practice owner to confirm your organisation role.
- If families still see the standard theme, confirm that the changes were published rather than only previewed, that the family has accepted the practice invitation, and that the assigned coach still has an active Premium or Founding Member subscription.
